# Learn The Basics

Jump in and get started quickly with these handy Spreo basics

### Quick Start Basics

1. If you haven't already, [Create your account](https://spreo.io/setup). Each account starts with a 30-day free trial so you can try Spreo in multiple meetings before you select a paid plan.
2. [Invite your team](/dashboard/teams-and-members#inviting-new-members) to your account.
3. [Create a board](/boards/creating-a-board) using one of the pre-set templates, or start with a blank board.
4. Collaborate: [Invite others](/boards/share-your-board) to your board by simply sharing the board url with them.
5. Enter [Meeting Mode](/boards/design-and-meeting-mode) to enable private writing and other meeting tools.

The Dashboard is where your boards are stored. From here you can:

### Board Basics

#### Creating your first board

You can create a board using one of Spreo's pre-set templates, or start from scratch with a blank board. When you create the board you will start in [Design Mode](/boards/design-and-meeting-mode), which gives you the tools to build and edit your board layout.

Everything on your board is editable and can be locked or unlocked.

#### Basic Controls and UI

* Double-click anywhere to create a sticky note and write inside it.
* Zoom in and out with your mouse wheel or trackpad. If this is not working as you expect, change your Mouse settings in the Preferences (top right).
* Move around the board by clicking and holding the left mouse button down, to pan around the screen. Or you can hold the spacebar and click and drag to pan around.
* Use the left toolbar to create objects - sticky notes, index cards, topics, voting, reaction tool, marker pen, tokens, and more. Have a look at the [Toolbar](/boards/the-tools) guide for more info.
* Use the "Gestures" (Lightning bolt icon) tools at the bottom of the left toolbar to present, orient and guide people around the board.

### Share Your Board

Click on 'Share' in top right of the board UI to get your board URL and set access rules. Once people join the board you will see their avatar moving around the board in real-time!

And that's it! You're all set to run your first meeting. We've design Spreo to be extremely intuitive, but read on for more tips on running a meeting.


# Running Your First Session

You've setup your board and it's time to get started! Follow these tips to effortlessly invite your team mates or guests and run your fist session with Spreo.

### Switch to Meeting Mode

At the top of the board, click on 'Start Meeting' to enter Meeting Mode. This switches the UI to display the collaboration tools (you will see the left toolbar update) and enables Private Writing.

You become the Meeting Host and get access to the Host toolset including a Timer, Polls, Anonymous Mode, and Ready Check. Everyone else is designated as a participant.

Start Meeting now changes to 'Meeting in Progress', if you click on this again you will see a list of available Facilitator controls:

### Changing tools for meeting participants

In the Meeting Tools menu you can adjust what your participants are able to access, these options are grouped in 3 categories, Collaboration, Design, and Gestures.

Click the 'Update' button to apply changes.

### Share your board

Now that your board is prepped and you've customized your participant experience it's time to invite your participants.

Click the 'Share' button in the top right of your board. From here you can copy the board link and decide the privacy level of your board (default is Team).

Once a participant joins your board, you will see their avatar moving around the board in real-time!

### Editing a board during a meeting

When a meeting is started, Super Lock is enabled for everyone on the board, meaning locked objects cannot be selected and edited, which is great for preventing any accidental changes.

If the Meeting Host needs to make changes to the board, they can switch Super Lock to participants only, and then update locked board objects.

The Host can also expand their left toolbar at any time to access the board layout tools. Participants' toolbar will remain as the collaboration tools. This allows you (the host) to make on-the-fly changes to their board and meeting structure to add more Templates, Zones, Gadgets, Shapes and more.

### Ending your Meeting

Once the last of the confetti has popped and you've completed the best meeting you've ever had, click on the 'Meeting in Progress' indicator at the top of your screen and select 'End Meeting'.

Ending a meeting puts you back in to Design Mode. Your boards are stored in your dashboard indefinitely, they do not expire or auto-delete.

### Exporting meeting insights

### Your new favourite meeting space

Spreo boards are your playground for collaboration, start with a template, build your own custom board layout or combine both to build something uniquely suited to your needs. "The board is your oyster", or something like that. I don't know, I'm just a help guide.

# Create a board

Learn how to create a board from a template, start with a blank board, or clone an existing board.

### Starting with a Template

Templates are a core part of our platform, and one of the reasons so many teams love us. You can jump right in and in just a few clicks be ready to run a great meeting without thinking about how to create the right structure for your aims.

#### How to access templates

From your dashboard you can use either the Meeting Types filter at the top of your screen to immediately browse templates filtered for these core meeting types.

Or, use the Templates link in the left-hand menu to access all templates. When you first arrive on the Templates page using the left-hand menu we default to show 'everything', type to search for a specific template or use the meeting type options to filter this view.

#### Using a template to create a board

Once you know what you want to use, just click on it and it will create a new board for you with that template.

If all you needed was that single template you are now good to go :smile:

However you can customize your board further. Want to add another template to a board? No problem, use the [Insert Template](/boards/the-tools#insert) tool in the Toolbar and add as many as you like.

### Starting with a Blank Board

At the top of your dashboard view, on the right of the Meeting Type template browser you can access the Blank Board option

Select this option to immediately open a minty-fresh new Spreo board and go wild with your board design skills.

### Changing a board name

By default all boards inherit their name from their template (or just say 'Blank Board' if that's what you used).

Rename your boards either in the board view by clicking the name in the top left.

or by using the 3-dot menu associated with the board in your dashboard view.

### Cloning a board

You can make a clone of any board in your dashboard. Use the 3-dot menu to access the options and select 'clone'. This will allow you to name the cloned board and set its location.

* Cloning a board copies everything on the board.
* Boards can be cloned to folders or teams.
* If there was an active meeting on the board you cloned, you will become the Host on the new board.


# Meeting Mode

Meeting Mode can be activated at any time on a board, by any licensed team member.

While you can collaborate on a board without activating Meeting Mode, it is specifically designed for collaborating with others. Meeting mode enables a unique set of meeting host / facilitation controls, and the left toolbar changes to focus collaboration tools.

When you start Meeting Mode on a board, you become the Host and get access to [Host controls](/boards/host-controls) at the top of the board. Everyone else becomes a participant.

# The Toolbar

Everything you need to create and run a productive, interactive and fun meeting

Tool Categories

There are two main categories for tools:

* **Board editing** tools like shapes, text tools, and zones
* **Collaboration** tools like sticky notes, topics and voting

The tools available are determined by whether you have Meeting Mode on ([read more here](/boards/design-and-meeting-mode)) and, if you are a participant, what the meeting host has made available to you.

Sticky notes are the main object you'll use in Spreo. Double-click anywhere on the board to create a sticky note, or use the toolbar to pick the color first. Note - on some templates, the color of a sticky note can be overridden by a zone's color settings.

#### Sticky note facts:

* There are two sizes of sticky note: regular and large. To change the size of a sticky note, drag from the right-hand edge.
* Each sticky is associated with its creator - hover over a sticky note to see who made it. (Use Anonymous mode to not track who wrote each sticky note).
* Each person has a different handwriting style when writing sticky notes. Change your handwriting style in your Preferences.
* When in Meeting mode, each person can hide and reveal their sticky notes as they wish.
* You can write, vote, add reactions, draw on, and group sticky notes.

#### Sticky note options:

With a sticky note selected you are able to:

* Set the sticky note colour (if not defined by zone)
* Add a connector
* Add a comment
* Tag the sticky note
* Access additional options via the 3-dot menu

These are just like real-life Index cards. Use these to write more than you can fit on a sticky note. You can also stamp reactions, draw, and vote on Index cards.

* Private writing works with Index cards - you can hide and reveal anything you're writing while the board is in Meeting mode.
* Index cards can be expanded - drag from the bottom of the card to make it longer.

Task Cards are cards that you can write in, with separate title and body fields.

* Task cards do not have private writing and can't be grouped with the Topic tool.

Roadmap cards are the building block of time-based roadmaps, to be used with the [Timeline Frame](#timeline-frame).

Once you have added a [Timeline Frame](#timeline-frame) to your board, add the roadmap cards to represent your streams of work:

Select a roadmap card to access additional options:

* Name
* External link (for linking to related documents)
* Tags (used for labelling with things like team name, initiative names, cost, linked OKR, estimate.)
* Dates (including delayed / earlier dates)
* Colour

Tokens look similar to poker chips and can be used in a variety of ways - icebreakers, estimation, team health checks, planning poker, and workshops.

There are pre-made tokens with emojis or your team pictures, as well as blank tokens that can be edited.

Double click a token on the board to edit it. You can also add an emoji to a token on the board, using the reaction tool.

Connectors are arrows that link objects in your board, allowing you to visualise relationships or create simple diagrams.

Connectors can be linked to most objects, including shapes, sticky notes, task cards, index cards, roadmap cards, Jira cards, and tokens.

#### Arrow styles

You can pick straight, bendy or angled arrows:

You can add a label to an arrow path, change the connector color, width, line style, start and end points:

Tip / To make multiple connectors quickly, press the `R` key after placing an arrow to place another. Or use the the "Create Another" option in the arrow options bar.

Reaction emojis can be stamped on almost any object or placed on your board as an image. Pick your reaction and click to place it. Multiple clicks will place multiple reactions.

To remove a reaction, use the 'eraser' tool, found in the bottom right of the Reactions tool UI, or if the reaction has been placed on the board, you can simply select it and then delete.

When you start using Reactions, you will see a Recently Used selection. These are specific to you and will show consistently across any board you're on. Use the trash can icon to clear all recently used.

Add Reaction emojis directly to your board in the same way you would normally stamp a board object. If placed outside of a board object you can select the emoji and move, scale and rotate

Draw anywhere on the board.

* Draw directly inside Sticky-notes, Task cards and Index cards to attach your drawing to those objects.
* Draw inside Zones or Frames and the drawing will move with the Zone/Frame when you move it - drawings inside of Zones/Frames can still be selected and moved independently
* Drawing over the edges or outside of board objects will create a independent drawn object which you can freely move where you want to.

**Edit your marker pen drawings, with the pointer tool( V) selected:**

* Click on a marker drawing to move, rotate, adjust line thickness or recolour
* Double-click a marker drawing to edit, you can now continue to draw within the same selection, or use the marker eraser to remove drawings: - Note - The eraser removes complete strokes, not just the area you click on

You can add shapes to your board, with a range of styles.

With a shape selected you will have access to editing options:

* Switch the shape type
* Border & fill style
* Colour
* Corner radius (roundness)
* Line thickness
* Container setting
* Lock
* 3-dot menu for additional options

Click the canvas to add a text object or click-and-drag to draw out a text area.

The Text box behaviour can also be set with the “Toggle Auto Height” option:

The Icon Tool gives you access to 30,000 icons.

There are five different visual styles for each icon, which can be changed at any point.

You can change the colour of the Outline and Fill style icons.

Gadgets make your team sessions more interactive, and dare we say... fun.

Gadgets are added to the board and can be moved around, locked in place, or deleted as needed.

In the gadgets you will find:

* **A music player (Jukebox) -** Pick your track and play music to everyone on the board.
* **A Timer** - set the time for an exercise.
* **A Spinner** - add your choices and hit spin!
* **A Counter** - the counter counts up and down.
* **A Buzzer** - pick a sound effect, then hit the buzzer to play it!
* **Object Tray -** add pre-set objects for participants to grab, like sticky note packs, scales, tokens. Use a pre-set or create your own custom set of objects.
* **Voter Panel** - Place a customisable Voter panel on the board - choose from pre-set voting options with Moods, Number Scales, Team Pictures and more!

Gadgets are in the toolbar for everyone when not in Meeting mode, or the Meeting Host can access the Gadgets tool by expanding the left toolbar during Meeting mode.

Gadgets can be locked in place to prevent editing or deletion, but are still interactive while locked (i.e. to change song or spin the spinner).

Zones are the primary object for laying out your board sections.

* Zones can be any size.
* Zones have a title, emoji field and border style. Zones can also override the color of sticky notes inside them.
* Click on the title of a zone to select it.

Frames surround and organize an entire exercise.

They are different to Zones, which are a single section within an exercise.

There are multiple Frame types available, all with unique function and purpose.

#### Activity Frames

Activity frames are a way to organize different areas of your board.

For example, if you run a workshop with different activities, you can surround each activity with an Activity Frame, and hide the later sections until it is time.

Activity Frames have a sheep icon in their menu bar which you can use to pull ("herd") everyone to the Frame immediately.

#### Timeline Frame

The Timeline Frame allows you to create a pre-formatted timeline with dates that you can use to plan projects or events.

The Timeline Frame is configurable in the following ways:

* Header & background colour
* Choose Start Month and how many months to span
* Add or remove additional rows - useful for different streams of work
* Set auto-arrange options for content inside the rows and columns. !**Note - this feature is in Beta and dynamically moves your content around. Use Undo if you want to reset after trying this.**

#### Calendar

The Calendar is a monthly day planner.

Drag on to the board, pick the month and use stickies on top.

#### Grid Frame

Grid Frames are layout objects with configurable rows and columns to contain content.

A ping is an arrow you drop on the board to point at something. Click once to drop a single arrow or click-and-drag to highlight an area.

Off-screen pings are shown at the side of your screen. Click an on active ping to be taken to where it is pointing.

Tip - you can drop a ping on the board at any time by pressing the Tab key. An arrow will appear at your cursor's position.

The vanishing pen lets you draw a temporary annotation on the board. It is useful for drawing attention to items on the board without permanently drawing on them.

Fire confetti across the board with the confetti cannon! :tada:

Click and drag to aim, then release to fire confetti. We won't lie, it's kind of addictive.

Pick this option to throw your hat across the board, of course. Similar to the confetti, click and drag to aim, then release to throw the hat.

Use the Topic tool to group similar stickies into organized themes.

To create a topic: Open the Topic tool, choose a color, and click to add to the board. Write the name of the topic inside, and then drag sticky notes toward it. The Topic will automatically group the sticky notes. To ungroup sticky notes, just drag them out of the group.

You can pick up a topic and it will bring any associated stickies with it.

TIP: Sometimes a team member can start a voting round accidentally. If this occurs, it freezes the previous round's votes for everyone. ### Building a layout

You can build completely custom board layouts with Spreo, whether it's for unique retros or complex workshops. The Shape tool, Zone tool, Text tool, and Image tool give you all the basic components needed.

Zones are the basic 'container' for sticky notes. Most of Spreo's templates use zones.

Zones have the option to override the color of sticky notes inside them. If you set the Zone Colour to 'none' then your sticky notes can be a mix of colours.

Setting different colours for zones allows you to quickly visualize different work/idea areas. You can further customize zones by setting different layout styles.

Text made with the Text Tool can be formatted with rich text options. Select the text and a rich text formatting toolbar will appear with Heading, Bold, Italic, bullets formatting.

### Layout design tips

#### Object Snapping

Object snapping and guidelines help when you drag or move layout objects around. Perfect for obsessive board builders.

If for some reason you don't like it, you can disable Snapping from the Grid Settings in the board settings, under the board name.

#### Object Nesting

Objects can be nested inside each other, so that when you move the parent object, everything inside it moves too. Great for managing more complicated layouts.

Objects have a 'Container' property that controls this - if turned off a shape will not contain any of the objects inside it.

#### Layer Order

Bring objects to front or back of each other. Right-click an object to access the context menu.

You can also use the keyboard shortcuts: `Shift` + `[` or `]`, or move one layer up/down with just `[` and `]`.

#### Rotate objects

Rotate objects by moving your cursor just outside any corner until you see the cursor change to rotation arrows, then click and drag to rotate the object around its central axis. You can also rotate multiple selected objects in the same way. You cannot rotate sticky notes, index cards, groups or tokens.

#### Undo / Redo

Use Undo & Redo if you make mistakes.

Note - you cannot undo other people's actions because each person's actions are captured separately.

#### Cloning objects

You can clone objects by selecting them, then press the `Alt` key and any `direction` key together. Alternatively, hold the `Alt` key and drag from the object - a clone will be created.

#### Copy & paste

You can copy & paste an object or multiple selected objects. The new copy is placed directly on top of the original.

# Share your board

Sharing & inviting collaborators

### Protected boards

All boards are protected by default to your team, so only members of the team can access the board immediately. Everyone else will join a waiting room and have to request access to the board.

1. Choose your board protection level in sharing settings
2. Copy the board link or send email invites
3. Optional - accept any join requests from temporary external guests

### Sharing Settings

You can change the "Trusted" level in a board's Sharing settings to Team, Organization, or Open, which will remove the board protection and waiting room for licensed members of the Team, Organization, or anyone with the link, respectively.

Your Organization Account's [Access Controls](/management/security-and-access-control) determine if people joining a board can join to participate as a licensed member, or as an external guest.

Boards can be viewed and joined by guests immediately when the share settings have been set to "Open" (subject to your plan's guest limits).

#### Sharing permissions explained

### Invite by email

You can invite via email directly from the board. This grants instant permission for the invitee to join the board quickly. You can invite them as either a Member or Guest. Your plan allocations are shown at the bottom of the invite window:

*Please note: People joining the board are still subject to member and guest seat allocations, driven by your plan.*

### Guests

External collaborators can be invited as a "Guest" - this allows you to work securely with people outside your team, such as clients, partners, and external contractors.

Guest limits apply, depending on your plan. For example:

* Business: 2 guests per board
* Enterprise: 20 guests per board

### How to share with Guests

1. Copy and share the board link with the intended guest or invite them by email. Depending on your sharing settings (see the top of this page 👆) the board will be visible or protected.
2. They can then choose to sign in or use a temporary profile to join the board.
3. If the board is protected you will get a notification while on the board that someone is waiting to join.
4. You can accept, and subject to your guest limits, they will join the board and can participate.

### What can Guests do?

Guests use all tools enabled for them by the Host, such as sticky notes, pen, images etc.

Guests cannot:

* Create boards
* Start, edit, or run a meeting
* Use Host controls
* Change the Sharing settings
* Manage the access of other Guests
* See the organization dashboard or teams

Guests only have access to the board that is shared with them - they cannot access your dashboard.

A temporary guest profile is saved as a cookie on the user's device, meaning they can use the same guest profile across multiple boards and sessions within an organization while the cookie is saved on that device. They can later claim the account by signing up with an email and password.

### Managing Guests

You can see your available guest slots and manage access in the share settings menu.

If you want to add more guests to a board but the Guest slots are all taken, then you will need to remove existing Guests from the board, or [talk to us](mailto:contact@spreo.io) about extending your Guest limit.

You can remove Guests from a board at any time through the 'Manage Access' option in the Share settings.

#### Changing a Guest's name

A guest can change their own name on the [Account page](https://spreo.io/account). They can navigate there by clicking the Spreo logo in the top left, then clicking 'Account' or going to <https://spreo.io/account>. You cannot change a guest's name for them.


# Actions

Actions help you keep track of meeting outcomes and next steps.

Assign an action to a team member from a sticky, and the Action will be added to your team dashboard.

Team members will be notified of their assigned, upcoming, and overdue actions by email.

### Creating Actions

Actions are created from sticky notes - one action per sticky.

There are two way you can assigns actions on stickies - either by typing @ inside a sticky, or with the “Assign Action” option in a sticky’s toolbar.

Start typing @ and you’ll see a menu appear with various options. Select ‘assign action’ and then follow the prompts:

* Select who to assign the action to
* Select a due date (optional)

And that’s it, your action has now been created. To view, edit or delete your new action item, click on the action status on your sticky note.

From this view you can:

* Change who the action is assigned to
* Update the action status
* Set or edit a due date
* Delete the action
* Navigate to the Action Items dashboard

You can also assign actions to one or multiple sticky notes by using the sticky note toolbar which appears above a sticky when it is selected.

This will lead you through the same steps as if you had created the action via the @ menu. If applying to a selection of sticky notes, the same inputs will be applied to all.

When a team member is assigned an action, they will receive a [notification](/boards/notifications) which will redirect them to the [Action Items dashboard](/dashboard/action-items).

### Importing Actions

To bring existing Action Items directly into a board for your next meeting, use the import options in the sidebar.

# Mentions

Mentions are a great way to directly message a member of your team when you want their input or to make them aware of specific comments or content on your boards.

### Using Mentions

To mention someone, simply type @ and continue to type their name, or type @ and select Mention from the options that appear. You can mention multiple people in the same board element.

Creating a mention will notify your team mate in the Notifications menu and share a link directly to the object you mentioned them on.

# Notifications

Stay up to date on Actions and Mentions via the notification window.

Whenever you are assigned an [action](/boards/actions) or [mentioned](/boards/mentions) in a board a red dot indicator will appear on the notification (bell) icon.

Opening this view will show you who sent the notification, what type of notification it is and give you a preview of what was said.

Click the link of a mention to be taken directly to the board and object where the mention was created.

# How to set the timer

Spreo has a built in meeting timer to help you manage your sessions. Your board must be in Meeting Mode to access the timer.

### Turning on the Timer

When in Meeting Mode, click "Meeting in Progress" at the top of the board to access the timer in the facilitator controls.

Set your time and start the timer. It will countdown from your set time. Everyone on the board can see the timer.

# Hide & Show Sticky Notes

How to enable private writing in Spreo

Private Writing allows you to write your stickies without anyone seeing what you are writing. You can write and edit your sticky notes as you need, then only reveal your stickies when you want to. It's great for brainstorming and helps reduce bias or influence among the team.

## Start Meeting Mode to enable Private Writing

You must start Meeting Mode to enable Private Writing:

When Meeting mode is on, everyone on the board can write sticky notes in private, and choose to reveal their stickies when they want, with the switcher at the bottom of the screen.

Private Writing can be disabled for everyone by the Host from the meeting controls at the top of the board:

### Reveal other people's sticky notes

The **Meeting Host** can reveal other people's hidden sticky notes by right-clicking on the sticky notes when in Meeting mode, and selecting the "Force Reveal" command:

# Voting

Voting helps your team prioritize items or make decisions as a group. Voting is available on all plans.

In order to set up a team vote, you need to be in [Meeting Mode](/boards/design-and-meeting-mode), and start a **Voting Round**.

A Voting Round can be started by anyone, though we recommend the Meeting Host starts it.

#### Set up a Voting Round <a href="#h_b11117c15a" id="h_b11117c15a"></a>

Step 1. Make sure the board is in Meeting Mode:

Step 2. Click the vote tool in the left toolbar (+1):

Step 4. Set your voting round parameters:

* Number of votes per person
* Allow duplicate votes by the same person on a single item

Step 5. Then ask your participants to equip the Voting Tool from the left toolbar, and click to vote on the stickies or topics they want to vote on. For the best results, we recommend the team decide to vote on either stickies OR topics, not a mix.

Step 6. Once all votes have been placed, use the voting results button in the bottom left to view the vote rankings:

### Tips for Voting <a href="#h_24f66dbfe5" id="h_24f66dbfe5"></a>

#### **Remove a vote**

To remove one of your votes: with the voting tool equipped, right-click on your vote in the bottom-right of a sticky note.

You cannot remove other people's votes.

#### **Add voting rounds**

You can create unlimited additional voting rounds with different parameters. Starting a new voting round locks the results of all previous rounds:

You can switch between voting rounds to review the results, or delete a voting round.

#### **See vote totals**

Use the Vote Results button in the bottom left to view the vote rankings. You can toggle between viewing vote rankings for just stickies, or for just topics. If you choose topics, it will combine all the votes on stickies inside the topic as well as votes on the topic itself.

#### **Spotlight people's votes**

You can view all the votes an individual has made by clicking on their picture in the top-right list and clicking "Spotlight", then clicking their name to switch from spotlighting objects to votes. Use the left and right arrows to switch between people:

#### **View who voted for a sticky**

To see who voted on a particular sticky note, click on the vote count in the bottom-right of the sticky:

### **Anonymous voting**

If you want to set up anonymous voting, turn on "[Hide Identities](/boards/host-controls#hide-identities)" from the Meeting Host controls at the top of the board. This ensures that no votes can be tied back to individuals.

The Host controls are available when Meeting mode is active, and they help you run a productive collaboration session.

In the Meeting Tools menu you can adjust what your participants are able to access, these options are grouped in 3 categories, Collaboration, Design, and Gestures.

If you do make any changes to our defaults, be sure to click the 'Update' button when you're done.

### Hide Identities

One of our Host Controls which requires special mention is Hide Identities, it allows you to make all participants anonymous, and to stop Spreo tracking what they wrote or where they voted.

When Hide Identities is on:

* you can’t tell who is who
* you can’t tell who wrote a sticky note, ever!
* voting is anonymous

Hide Identities is a mode that you can turn on and off, to use whenever you need - whether for the whole session or just one activity.

#### With Hide Identities enabled

Anything written or voted on when Hide Identities is active stays that way, forever. Nothing can ever be tied back to an individual.

When you’re done, turn Hide Identities off to go back to regular mode, where all new contributions and votes are tracked again.

#### Why isn’t everything always anonymous in Spreo?

In short - we don’t believe anonymity should be default for team sessions, but we recognize that anonymity can be a useful tool in certain scenarios:

* helping newer teams raise awkward issues
* reducing bias like zombie groupthink, or the HIPPO effect
* is another useful tool in a facilitators toolbox

You can import backlog items from Jira to Spreo, and send issues to Jira from your stickies in Spreo.

### Connect your Atlassian account and import your data

#### Sign-in to Atlassian

To connect your Atlassian account and import Jira cards, use the import option in the [Toolbar](/boards/the-tools), or by clicking the board name and selecting 'import data'. Or, if you are using one of our Jira 'powered' templates you will see a 'Import From Jira' button on the board.

#### Select and import your project items

Pick a project and scroll to view project issues. Use filters or JQL to find specific issue types. Either select individual items, or use the top left check-box to select all. Then use 'import' to add the items top your board.

All visible fields on a Jira card are editable inline - just double click a field:

Select multiple Jira cards and select 'Bulk Update' from the floating menu bar to change properties across the Jira issues.

### Create Jira issues from sticky notes

To create Jira items from sticky notes:

* Select the stickies you want to export to Jira
* Click the "Save as Jira Issue" button:

* Pick your Jira project
* Use the Create Issue form to add detail to your Jira items - pick the issue type, add description, complete the mandatory fields
* Create issues - when they are confirmed, your stickies will convert to editable Jira cards
* Go to Jira to see your newly-created Jira items!

### Show additional fields on Jira cards

Jira cards show all the basic fields, based on the issue type. If you want to display more fields on your Jira cards, select a card and click "Configure Fields".

### Set Issue Border Colour

Mark Jira cards with different coloured borders. Useful for designating Jira cards in any way you like. This is in Spreo's visual layer only, it does not affect your Jira data.

### Delete a Jira card

To delete a Jira card in Spreo, simplty select it and hit the delete key. Deleting a Jira card in Spreo **does not** delete the issue in Jira. It only removes the card from your board.

### How to enable immediate 2-way sync

The default Jira connection is not a real-time 2 way sync, instead the data is updated each time you import data or refresh your board.

### Data Security when using the Jira Integration

At least one user on a board must be present and connected to Jira with their Atlassian credentials.

<mark style="background-color:purple;">Any user with access to a board can</mark> <mark style="background-color:purple;">**view**</mark> <mark style="background-color:purple;">the Jira issues that have been imported, this includes guests.</mark>

Only users that have an active connection authenticated through your Organization's Atlassian login can make updates to Jira issues.

Your Jira data is not permanently stored in Spreo when imported. Only the Jira issue ID is stored, and each time the board is opened or refreshed, the full payload of issue data is retrieved each time using those issue IDs. This is stored in temporary memory, which is removed once all Atlassian-authenticated users close the board.

Teams can use their Jira data in Spreo for a variety of reasons:

### How does Spreo connect to Jira?

Spreo uses OAuth 2.0 to connect a Spreo user to a Jira user. The user initiates this flow from within Spreo. Their active user (e.g. who they are logged in as) will be connected to their Jira account via the Atlassian OAuth 2.0 login flow.

Once the user has logged into their Atlassian profile and agreed to the connection, Altassian provides us with an offline refresh token that we can use to make requests on behalf of that Jira user. If the user wishes to remove this connection, they can do so at any time from their user preferences in Spreo.

### What can Spreo users do with their Jira data?

Users with an active connection to their Atlassian/Jira user can:

* View Projects they have access to
* View and import Issues they have access to
* Create or Update Issues they have access to

Currently, there is no way to delete data in Jira via Spreo. This is a design choice we made to prevent any accidental deletion of data. Deleting a Jira Card on a Spreo board just removes the link to the issue.

### What Jira data is stored in Spreo?

Spreo stores:

* Issue data that is imported/loaded for 24 hours in a temporary cache. This includes issue metadata as well as metadata about related objects such as assigned users or epics/sprints.
* Issue ids that are imported into boards until they or the board is deleted.

The key point here to understand is that we do not store any data from Jira, except the ID of issues, in our primary databases.

When a user opens a board that has imported Jira Cards (or imports for the first time), the app will request the latest version of these issues from the temporary cache or Jira, assuming the user has a connection to Jira active. If not, the tickets will appear in a placeholder state with no data present.

### Can non-authenticated users view Jira data?

Non-authenticated users cannot independently access your Jira data, but if Jira data has been brought into a board they have access to by another authorized user, they will be able to view the data if it’s been loaded into the board. They cannot modify it.

**An example:**

An employee of your company imports Jira issues into a board, then invites an external guest from outside the company to the board. The guest will be able to view the imported data, but cannot make changes.

# Import data to your boards

There are two ways to import data into your board:

1. **From text** - just copy and paste directly into the board. Each new line is a sticky note. Simple!
2. **CSV** - Drag & drop or copy/paste a CSV file or tabular data onto the board.
3. **Jira** - Connect to your Atlassian account and pull tickets directly into your board.

### Import CSV or Tabular Data

If you want to import structured data to a board, you can drop a .csv file onto a board, paste .csv data or use the Insert option in the Toolbar. You then map the data columns to board elements like stickies, zones, topics, tokens or task cards.

#### How to import and map your data

1. Drop, paste or Insert your CSV data
2. Select the object types you would like the data imported as, choosing from stickies, zones, groups index cards, and tokens.
3. Confirm the import and your data will be automatically created on the board for you.

   *Tip - You can undo an import with* `Ctrl + z`*, or use the undo button.*

# Locking the layout

Locking objects in your board is a great way to avoid accidental editing.

### Lock individual objects

If you just want to lock a certain object, use the padlock icon when the object is selected. Locked objects will display an 'unlock' icon when selected.

### Lock a multi-selection

To lock a group of the same object types, shift+click or shift+drag a multi-selection and use the 3-dot menu to select the lock option.

### Lock Everything / Unlock Everything

If you want to lock or unlock everything, right-click on the board background any time to access the locking options.

In addition, Lock Layout is a shortcut to lock all layout objects on the board.

### Lock the layout prompt when you start a meeting

Whenever you start a meeting as the host you will be presented with the option to lock the layout. This is a quick way to lock everything you have laid out on the board.

### Super Lock

The Super Lock setting prevents accidental editing by setting locking preferences for everyone on the board. Super Lock is available when Meeting Mode is on.

You can choose who Super Lock is enabled for:

* Everyone
* Just participants
* No one

#### Quickly select all objects of the same type

To quickly select all objects of the same type, select an individual object and use the 3-dot menu to use the 'Select Others' function. This will select all matching object types across the entire board.

# Tags

Tags are a way to add additional labels to sticky notes and cards:

* Tags can either be just a label or a label & value.
* Tags can be customized with color and symbol.
* Tags can be added by selecting a sticky note and using the 'tag' icon.
* Tags can be quickly added by typing a #hashtag or wrapping a label/value in square brackets like this: \[valueTag=50].

Tags can be added as a column to a data export of stickies:

* Each tag type is shown in the column list, choose which to include.
* Each Tag type chosen is a column in the data export.

### Export process

When exporting your board or a selection (unless exporting to PDF) you will be walked through a series of options to ensure you export the exact data you want.

#### Select object type

Stickies, Index Card, Token, Task Card, Roadmap Card or Jira Card. If they exist in your board you will see them in the list with an object count. You can only select one object type per export.

We predefine the following columns: Content, Color, Author, Created and Zone. You can remove any you don't want to include.

# Beta Features

These are experimental features - we are still working on them, but please try these in your boards and let us know your feedback!

### AI Features

AI features need to be enabled by your Account Owner in [AI Settings](https://spreo.io/manage/ai). You can either choose to use our 3rd party AI providers, or Bring Your Own Keys. Usage of AI features requires acceptance of the [AI Addendum](https://spreo.io/legal/ai-addendum).

Your data is not used for training models.

#### AI-Driven Topic Grouping

You can ask Spreo to analyse and group sticky notes for you.

1. Select multiple sticky notes
2. Click the 'Group Under Topics' button in the floating toolbar above the stickies
3. Select "Sort into Topics (Uses AI)
4. Wait for the AI to sort and group your stickies. They will be placed below your current board content.
5. If stickies were in a zone, they will be tagged with the colour and name of the zone they came from.

You can ask Spreo to further divide a Topic grouping into more sub-topics. If it can find enough differences or patterns, it will create the sub-group topics below.

### Add videos to your board

Paste the link to a video to embed it into your board. Copy either the Youtube link or the MP4 link and paste it directly onto the board with `Ctrl + V`.

The video will appear on your board and can be played / stopped with a single click.

Ctrl + click selects the video so you can move, resize and delete it.

### Slapping

To slap someone, hold the space bar and fling your cursor through their avatar to send them flying (with bonus sound effects). If you find slaps annoying, disable them in the user settings.

### Command Palette

We built Spreo so that all actions on a board can be programmatically executed with commands.

This means that in the future you could script an automated workshop. We're not quite there yet, but for now you can browse examples of the commands that will be available for keyboard ninjas.

Learn how to connect agents to your Spreo boards

## Spreo MCP Server

Welcome to the Spreo MCP server, which gives your AI assistant access to your boards.

### What MCP is

MCP (Model Context Protocol) is an open standard that lets AI assistants connect to the tools you already use. Connect Spreo to your assistant and it can see your workspaces, read your boards, and build and edit boards on your behalf.

A few things worth being clear about before you start.

It's a tool for using Spreo. Your assistant works with the same boards, stickies and zones your team already uses, so there's nothing new for anyone else to learn.

It isn't AI inside the board. The AI lives in your assistant. Spreo just gives it a way to reach your boards.

Quality in, quality out. A vague prompt gets you a vague board. Give it your context, your format and your constraints and the results get a lot better.

And it doesn't run your meeting. It builds, reads and edits. The facilitation is still yours.

### What you can do with it

* Create a retrospective board
* Build a structured workshop
* Create mind maps, flowcharts and org charts
* Build native timeline roadmaps, using real timeline elements rather than a picture of one
* Transform data or documents into a collaborative board
* Edit a board: add stickies, reword them, recolour them and move them around
* Read a board, then summarise it or pull its content into whatever you're writing
* Copy a board you like and adapt it
* Add illustrations, generated in Spreo's house style

### Before you start

You'll need:

* An active Spreo plan
* MCP enabled for your account. Account owners control this, see [Permissions and Security](/boards/mcp/mcp-permissions-and-security)
* An AI tool that supports remote MCP servers
* The connection details, which we share with you when you join the beta

### Connect your AI assistant

Every client follows the same shape. Add a custom connector, paste the URL we sent you, sign in to Spreo and authorise.

#### Claude

1. Open **Settings**, then **Connectors**.
2. Choose **Add custom connector**.
3. Name it `Spreo` and paste the connector URL.
4. Choose **Connect**. A Spreo window opens.
5. Sign in to Spreo if you aren't already, then choose **Authorize**.

Spreo now appears in your connector list. On Team and Enterprise plans, your Claude administrator may need to enable the connector for your organisation first.

#### ChatGPT

1. Open **Settings**, then **Apps & Connectors**.
2. Under **Advanced settings**, turn on **Developer mode**.
3. Go back to **Apps & Connectors** and choose **Create** or **Add connector**.
4. Name it `Spreo`, paste the connector URL, and set authentication to **OAuth**.
5. Save, then choose **Connect** and sign in to Spreo.
6. Choose **Authorize**.

ChatGPT shuffles these settings around from time to time. If the menus don't match, look for connectors or apps in settings, and for a developer or custom option inside it.

#### Claude Code

Run this in your terminal, substituting the URL we sent you:

Then run `/mcp` inside Claude Code and follow the sign-in prompt.

#### Other MCP clients

Spreo works with any client that supports remote MCP servers over HTTP with OAuth, including Microsoft Copilot, Cursor and VS Code.

Look for a custom, remote or HTTP MCP server option, paste the connector URL, and complete the Spreo sign-in when prompted. Clients that use a configuration file usually want something like this:

We've tested Claude and ChatGPT. Other clients follow the same standard and should work, so tell us how you get on if you connect one.

### What you're authorising

When you connect, Spreo shows you exactly what your assistant will be able to do:

* Confirm who you are
* See your profile: name, photo and email
* See your workspaces and boards
* Read, edit and create boards on your behalf

If you belong to more than one Spreo Organization account, you choose which one the connection applies to. Your assistant gets the same access you have in that account, and nothing more. It can't see boards you can't see.

You can disconnect at any time from **Integrations** in your Spreo profile. See [Permissions and Security](/boards/mcp/mcp-permissions-and-security) for the full picture.

### Check it's working

Ask your assistant:

> List my Spreo boards.

You should get your recent boards back, each with a link. If nothing comes back, check that MCP is enabled for your account and that the connector shows as connected in your AI tool.

#### Turn something you already have into a board

> Turn these meeting notes into a board with decisions, open questions and actions.

#### Work with an existing board

> Read my "Team Health Check" board and add a zone for the three lowest-scoring areas.

> Copy my "Weekly Retro" board and rename it for this sprint.

> Summarise the retro board and draft an update for my stakeholders.

> Recolour the risks on this board to red and move them into their own zone.

### Getting good results

Be specific. When building boards, tell it the team, context, the format, how many sections you want and the tone you're after. "Make a retro" gets you a generic retro. "Make a sailboat retro for a team of six, with prompts and space for actions" gets you something better. Insert your recent sprint results and get something even better.

Let it read before it writes. If you're changing a board that already exists, ask your assistant to read it first. It'll work from what's on the canvas instead of guessing.

Build in passes. Ask for the structure, look at it, then ask for changes. That works better than trying to describe everything perfectly up front.

Open the board it gives you. Every build comes back with a link, and most boards benefit from a couple of minutes of your own tidying afterwards.

Treat it as a first draft. It gets you past the blank canvas. Working out what your team actually needs is still your job.

### What it doesn't do

The MCP server is in beta and there's plenty it can't do - yet. Broadly:

* It doesn't facilitate. It won't run your session, prompt your team or replace the conversation.
* It doesn't watch your board in real time. It acts when you ask it to.
* It has no access to Jira data or integration
* It can't search or use Spreo library of templates, or your custom templates (for now)
* It doesn't draw
* While it does flowcharts, it doesn't fully support rigorous technical diagram formats like UML or Mermaid (though it will get you 90% of the way there).
* It won't share boards or invite people for you.
* It doesn't have context of actions yet.

# MCP Tools

## Tools, tips and limits

What your assistant can actually call, how to get better results out of it, and what the MCP server can't do yet.

### How it works

An MCP server gives your assistant a set of tools it can call. You write a prompt, your assistant works out which tools it needs, and Spreo carries out the work against your boards using your own permissions.

Two things follow from that, and they explain most of what you'll see.

Your assistant reads Spreo's manual before it builds. The first time it creates content it fetches a full reference for Spreo's board format: every element, the layout rules and the colour palette. That's why the first build in a conversation takes a moment longer than the ones after it.

Edits land as one transaction. A single edit either applies completely or not at all, so you'll never end up with half a retro on the board because one instruction was wrong.

#### list\_workspaces

Returns your workspaces and their folders as a tree, matching what you see in Spreo. Your assistant uses it to work out where a board should go.

Tip: if you work across several workspaces, name the one you want in your prompt. Otherwise new boards land in your account's default workspace.

#### list\_boards

Finds boards you have access to, with search, workspace and folder filters, and sorting. Returns each board's name, ID, link and workspace.

Tip: board names are what your assistant searches on, so a board called "Retro" is much harder for it to find than "Platform squad retro, sprint 24". Paste a board link into your prompt when you want to be certain which board you mean.

#### read\_boards

Reads the full content of up to five boards: every sticky, zone, card and connection, and how they're nested inside each other.

Tip: ask it to read the board before it changes anything, so it works from what's on the canvas rather than assuming. If you want it to look across a run of retros, ask for them five at a time.

#### search\_people

Finds people in your Spreo account by name or email address, and returns their name, email and avatar. Names match loosely, so "Mel Brookes" will find "Melanie Brookes". A full email address matches exactly. Up to 20 people per call.

Your assistant uses it when it needs real people on a board, usually to place their avatars as tokens.

Tip: if two people share a name, your assistant should ask you which one you meant rather than guess. If it picks the wrong person, give it their email address instead.

#### create\_board

Creates a new, empty board. You can set the name, workspace and folder.

Tip: boards get built in two steps, created empty and then filled in. If you're watching the board while your assistant works, expect a blank canvas for a moment before the content turns up.

#### clone\_board

Duplicates a board, including everything on it. You can give the copy a new name and send it to a different workspace or folder.

Tip: this is the quickest route to a recurring ceremony. Ask your assistant to copy last sprint's board, rename it, and clear out the old stickies.

#### edit\_board

Does all the actual work on a board, placing stickies, zones, text, shapes, images, connectors, Jira cards, index cards, task cards, topics, tokens, grids, frames, calendars, videos, counters, buzzers, spinners, timers and the music player. It also handles:

* the structured formats
* laying out retrospectives
* flowcharts
* mind maps
* org charts
* timeline roadmaps,
* voters
* trays of items

Each call carries up to 50 operations and applies as a single transaction. A few things worth knowing:

* Large boards need several calls, so a big build can arrive in stages. That's normal.
* Because a call is all or nothing, a rejected build leaves the board untouched. Ask your assistant what went wrong and it can usually correct itself.
* Ask for changes rather than starting again. "Move the risks into their own zone and make them red" is quicker and safer than rebuilding the board.
* Images are generated after the rest of the board lands, so they show up a few seconds later.

#### edit\_board\_help

Spreo's board manual. Your assistant calls this on its own and you never need to ask for it. It's what keeps generated boards looking like real Spreo boards rather than boxes on a canvas.

### Built-in formats

Spreo MCP uses seven formats that your assistant can build properly. They aren't separate tools, so you won't see them in the list above. They're structures your assistant passes to `edit_board`, and Spreo does the layout.

This matters more than it sounds. Ask for a mind map and you get a laid-out mind map with balanced branches and real connectors, not a scattering of stickies with lines drawn between them.

**Retrospective.** Any sections-style board, not just retros. You get one zone per section, laid out as columns up to three sections and as a panel grid beyond that. It sizes itself to your team, so tell it how many people are coming. You can also ask for a grouping area, an actions area, a description under each section title, and scene-setting copy for the session. Themed retros get a generated illustration per section.

**Flowchart.** Give it the steps and how they connect. It picks the shapes for you: rounded boxes for process steps, diamonds for decisions, a banner for the start, an oval for the end, a parallelogram for input and output. Branches out of a decision get labelled, and you can have it run top-to-bottom or left-to-right. Describe the branching in your prompt and you'll get proper decision diamonds with yes and no on the arrows.

**Mind map.** A central topic with branches radiating out, balanced either side and nested as deep as you like. Each top-level branch takes its own colour, which its children inherit.

**Org chart.** Name and role cards connected as a reporting tree, nested as deep as your hierarchy goes. It runs downward by default, but left-to-right suits deep structures better. Colour a person and their whole subtree takes that colour, which is a quick way to get one colour per department.

**Timeline roadmap.** A real timeline element with Gantt-style bars on a month axis, in horizontal swim lanes. It needs actual start and end dates, so quarters and month names resolve to real days. Lanes are your parallel tracks: teams, workstreams or products. There are no dependency arrows between bars.

**Tray.** A stock of stickies or tokens participants drag copies out of. Ask for a tray of the session's participants and it stocks itself with everyone's token at runtime.

**Vote.** A voting widget where everyone casts a vote across your options and then reveals. Needs at least two options and sizes itself to the count.

### What it can't do yet

The MCP server is in active development. Today it won't do any of the following:

#### It can't use templates

It has no access to Spreo's templates, because it builds boards generatively rather than starting from one. We plan to make Spreo's templates and your custom saved templates available via MCP.

#### Run your process for you

It doesn't facilitate. It won't run the session, prompt your team or keep time. It doesn't replace the conversation, or the expertise in the room. It won't manage your agile process or ceremonies, and it can't share a board or invite people for you.

#### Work in real time

It acts when you ask it to. It doesn't watch your board, react to changes, or join a live session.

#### Access additional data

No Jira access, no actions.

#### Handle every kind of visual

No freehand drawing or sketching.

#### Technical Diagrams

Technical diagram formats like UML or Mermaid are not 100% supported yet, though it will do a good first job.

#### Analyse across boards automatically

There's no automatic analysis of patterns across your retros or meeting series. You can ask for it board by board, five at a time, and it does a decent job of it.

### What we're working on

We're running the beta with a small group of customers first, then opening it up. Template access, retro analysis across sprints, and a board generator are all on the list. If something you need is missing, tell us, because what beta customers ask for is what we build next.

We're actively seeking feedback while MCP is in beta. Tell us what worked, what didn't, and especially what you tried to do that it couldn't handle. We'll come and ask you too.

### The Spreo API

MCP isn't the only way to work with Spreo programmatically. Spreo has a basic HTTP API covering boards, workspaces, templates, tasks, notifications, users and account administration.

Visit [spreo.io/developers](https://spreo.io/developers) while signed in to Spreo. Your API key is there, along with the reference for each endpoint.

The API and MCP are separate. Connecting an AI assistant over MCP doesn't need an API key, and an API key won't connect an assistant.


# MCP Permissions and security

Who can connect an AI assistant to Spreo, what that assistant can reach, and how to control it.

### What your assistant can access

When you connect an AI assistant to Spreo, it acts as you.

It sees exactly the boards and workspaces you see, and it can't reach anything you can't. It's bound to a single account: if you belong to more than one Spreo account you pick which one when you authorise, and the connection only covers that one. It gets no admin powers either, so connecting an assistant doesn't open up billing, member management or account settings.

If your access changes, your assistant's access changes with it. Remove someone from a workspace and their assistant loses that workspace too.

### What you authorise

Spreo uses OAuth 2.0. You're never asked to paste a password or an API key into your AI tool.

When you connect, Spreo shows you what the assistant will be able to do:

* Confirm who you are
* See your profile: name, photo and email
* See your workspaces and boards
* Read, edit and create boards on your behalf

You authorise it once. Your AI tool holds a token from then on, and Spreo can revoke that token at any time.

### Admin controls

Account owners control MCP for the whole account under **Manage**, then **MCP**.

#### Allow or block MCP

A single switch, **Allow account members to connect AI tools via MCP**, governs the entire account.

Turn it off and no member can connect an AI tool. Any existing connection stops working immediately. It applies to everyone in the account, owners included.

If your organisation isn't ready for AI tools to reach your boards, this is the control to use.

#### See who has connected

The **Connected members** table on the same page lists every member who has authorised an AI tool, showing the member, their email, which client they connected and when.

It's worth checking during the beta to see what's actually in use across your account.

### Removing access

If you're a member, open your Spreo profile, go to **Integrations**, and remove the connection. Access stops straight away.

If you're an account owner, turn off the account switch under **Manage**, then **MCP**. That cuts off every connection at once.

Either way, remove the connector in your AI tool as well, or it'll sit there showing an error.

### Where your board content goes

Two separate things happen when you use MCP, and they're worth keeping apart in your head.

Your board content goes to your AI provider. When your assistant reads a board, that content leaves Spreo and goes to whichever AI tool you connected, where it's handled under that provider's terms rather than ours. The same is true in reverse: whatever you paste into your assistant can end up on a Spreo board. Choose your AI tool the way you'd choose any other processor of your team's data, and check your organisation's position before you connect.

Spreo records MCP activity. We log which tools were called, and whether they worked, so we can support the beta, diagnose problems and understand what people are trying to do. When your assistant reads a board, the content it gets back isn't stored in that log. Content you send to build or change a board is.

Spreo doesn't use your data to train AI models. The [AI Addendum](https://spreo.io/legal/ai-addendum) has the detail.

### Beta

Access is granted by request while MCP is in beta, and we set customers up individually. We want to know who's using it and hear directly from them while it takes shape.

### Your Dashboard

Your dashboard is where your boards, folders and team are organized. You can navigate through it using the left navigation panel. Here you can [**create boards**](/boards/creating-a-board), view recent boards, join or create teams (depending on your [plan](/plans/plans-overview)) and invite new team members.

### Your first visit

If you've just created a Spreo account your dashboard will look something like the image below. A pristine space for you to start building and organising boards, growing your team and running some of the best meetings you've ever experienced

### Quick access templates and boards

We've added a selection of core meeting types to the top of the dashboard, this allows you to quickly browse through all of our templates pre-filtered for the meeting type you want to run.

If you want to build your own board without a template, use the blank board option. Any board you have starred will also appear in this quick launch area.

### Board folders

Folders help to keep your boards organised. You can either create new boards inside your folder to automatically add them there, or if the board is on your dashboard 'root', drag and drop it to the folder you want to organise it in.

If you delete a folder with boards in it, those boards will automatically move back to your 'root' folder, which is your team dashboard.

When you create a folder, it will appear along the top of your Boards area and will also be added to left hand menu for quick access if you have scrolled down the page.

There is no limits on how many folders you can add.

# Boards

By default, your boards are shown in descending order from the last time they were visited.

You can change this by adjusting the filter on the top right of your boards view.

Any board that is not assigned to a folder will appear in your dashboard 'root'. <mark style="background-color:purple;">If you move a board to a folder it will no longer be visible at the root level but you can search for it.</mark>

### Cloning a board

You can make a clone of any board in your dashboard. Use the 3-dot menu to access the options and select 'clone'. This will allow you to name the cloned board and set its location.

* Cloning a board copies everything on the board.
* You can clone a board across teams and folders.
* If there was an active meeting on the board you cloned, you will become the Host on the new board.

From here you can edit, delete or batch update your team actions.

Click the board link to go to the action sticky on the board. If the original sticky has been deleted, you can choose to open the time machine to view the now deleted sticky (you can even copy-paste it out).

Although Actions and Mentions are both displayed in the same notification drawer in the header, only actions are shown in the Action Items view.

### Create Actions from the dashboard

You can also create actions directly from the dashboard, by using the ‘Create Action’ button (plus symbol) in the top left of the Action Items dashboard view. Add a summary, assign the action and set a due date.

The assigned team member will be sent a notification. If they click the notification, they will go to the dashboard view, with the action item highlighted.


# Teams and Members

Organize your boards and member access to boards by using teams.

### Managing your team

#### Inviting new members

You can add members to your team in a number of ways:

* Use the + icon next to the team select dropdown or next to the team profile images at the top of the dashboard
* You can add team members via name (if they already have an account in your org), email or link. <mark style="background-color:purple;">Invite links expire after 5 days.</mark>
* If you are an Admin or Owner, you can open the [Manage Teams](https://spreo.io/manage/teams) screen via the team dropdown.
* You can invite existing Account members to another team, or send an invite to new people to join.

#### Create a new team

New Teams can be created from the dashboard by any member of the Account, if your plan allows it (all plans except Starter):

* The person creating the team is automatically added to the team

* Members can access boards in a team they have been added to, or they can be directly invited to individual boards in other teams.

### Team limits

* Starter Plan: 1 Team
* Business Plan: Unlimited Teams and Team Members (Max 200 members)
* Enterprise Plan: Unlimited Teams and Members

Whether you're looking for a template for your next meeting, or just need a spark of inspiration, Spreo has a range of pre-made templates available to use instantly.

You can preview all templates in the Template Library, accessed from the left menu. All standard templates are listed in their categories, and you can preview each board in full before using it.

In addition, teams can create and add their own custom templates to their Team Template Library.

# Template Library

All templates are available to view and use in the Template Library. Use the search function or filters to quickly find the perfect template for your meeting.

When you've found the template you want to use, simply click on it and a new board will be created for you using the selected template.

#### Previewing Templates

If you just want to have a look at a template without making a board, use the 3-dot menu on the Template card and select 'preview'.

# Custom Templates

You can save any board you create as a custom template to your organization. This becomes a quick way to organise the templates your team uses often or those that you've made specifically for the way your team works.

To add a template here, create a board and then go to Templates > 'Your Org Templates' and use the 'Add Template' button, this will bring up a list of all of your boards:

Select the board you want to set as a template and then give it a name, description and set a category.

### Create Custom Template From Inside A Board

From the board details menu, publish the current board to your Organization's Template Library:

### Update a Custom Template

To update a custom template, you create a new version, save it to the Template Library, then delete the old template.

1. Create a board from the template you want to update
2. Edit the template
3. Save it as a custom template
4. Delete the old custom template.

# Admins

The Admin role

## Who are Admins?

Admins are members of the Organization that can manage people and invites, teams, security settings, and the subscription.

Designate an Admin by changing a person's role in [People Management](/management/people).

Admins can:

1. Manage team members.
2. Manage teams.
3. Promote and demote other people to Admin, including themselves.
4. Manage the Access and SSO settings.
5. Manage team invite approvals
6. Manage the [plan, subscription, and billing](/management/billing-and-subscription).

Only individuals designated as Admins can access the Admin management screens.

## Owners

Owners have the same permissions as Admins, but they can additionally manage the subscription and billing for the Organization space.


# Manage Account

Admins can manage the general Account settings in the admin screen:

* Organization Name & Logo
* Auto-join settings
* Allow anonymous guests on boards
* Default team for new joiners

### Auto-Join Settings

**Make it easier for account members to share boards with their colleagues.**

The Auto-Join setting allows you to whitelist your company domains so your colleagues can join the account to participate when a board is shared with them, instead of needing a team invite first.

When someone visits a board in the Account for the first time, if their email address matches the domain, they will automatically join the account if there are available seats.

Simply add your Organization domain(s) to the Auto-join setting to allow automatic account joining for anyone with an email addresses from your domain(s), the first time they visit a board.

<mark style="background-color:yellow;">If you do not whitelist any domains, new members will need to be invited to the account before they can participate on a board as a member.</mark>

Tip - To allow anyone in your domain to automatically join the account when a board is shared with them, type your domain into the Whitelist setting.

If an Organization Account has strict access rules, or a user is invited that does not have a trusted domain, then the user will not be able to join the Organization Account via a board link, and will need to be invited to the Team first.

### Anonymous Guest Access

Account Admins can now toggle whether external guests are required to sign in to join boards across the Org Account. (Note - your plan has to include external guests).

### Default team for new joiners

This is an optional setting, where you can define the default team(s) that new members are added to when they join the account.

If someone is not invited directly into a team when they join the account, they will be added to the team(s) listed in this setting.

# Manage People

[Admins and Owners](/management/admins) can manage the people in an Organization.

Click the Organization Settings in the left menu or go directly to [People Management](https://spreo.io/manage/people).

### People Management

The People screen shows how many people are in the Account across all teams, compared to the total seats set in your Billing.

From here you can add and remove people from the account, or change people's account roles.

### Roles

There are four Account roles in Spreo - Owner, Admin, Member, Guest.

The Owner has the most permissions, Guest has the least. Any number of people can be assigned to each role (within your billing limits).

#### Owner:

The top-dog role with all permissions. They have access to all Billing and Admin controls.

#### Admin

Admins have access to all Admin functionality except Billing. This means they can manage People, Teams, Boards, Access Control, SSO, Activity Logs. Like Owners, they also have all the functionality of a Team Member.

#### Member

This is the standard role in Spreo. Most of your people will be this role. Members can join teams, create and participate on boards, run meetings, organize boards, create and view actions... all the standard stuff.

#### Guests

Guests are external to the Organization. They can only access the individual boards they are invited to. They cannot access the team dashboard or workspaces.

### **Invite people**

Anyone can be invited to join the Organization, but your [Access Control](/management/security-and-access-control) or [SSO](/management/single-sign-on) settings will prevent unwanted visitors.

**Invite by email**

Any member, Admin or Owner can invite others by email. The recipients will receive an invite in their inbox to join a Team in your Organization.

**Invite Link**

Admins and Owners can generate an invite link to share with others, adding them to a Team in the Account.

### **Removing People From The Organization**

To remove a user from your Organization, find their user in the [People Admin section](https://spreo.io/manage/people), and click 'Remove Person'. This removes their access to the Organization and all content within. The teams, folders and boards they created or participated on will still be available for others in the Organization to use.

Removing a person from an Organization does not delete their user account. The user will need to delete their own user account.

If a person was removed accidentally from the Organization, they can be re-invited.

### **Appointing other Admins / Owners**

Owners & Admins can promote other people in the Organization to Admin or Owner.

Owners and Admins can also demote any other Admin to a regular Team Member.

### Invites and Access Request

In the People Management screen, Admins can view email invites sent out, and any join requests made by new users trying to join the Account, whose email doesn't match the [auto-join](/management/manage-general-account-settings) settings, or when there aren't enough seats for them to join.

### Invite Approvals

#### <mark style="background-color:purple;">(Enterprise plans only)</mark>

For customers on Enterprise plans that have not integrated their Single Sign On provider, Organization Owners and Admins can enable an Invite Approval process, from the [People Management](https://spreo.io/manage/people) screen.

* Turn on "Require admin approval for invites":

* This feature implements an **admin approval process** on **all new invites sent by members.**
* Members can invite other people to their team from the dashboard, entering their email address:
* When a member tries to send an invite to someone that is not already in the Account, Admins will receive an email notifying them that a new invite has been requested:

* The Admins / Owners can approve or reject invite requests from the Invites tab in the [People Management](https://spreo.io/manage/people) screen:

* <mark style="background-color:red;">Reject an Invite Request</mark>: if an invite is rejected, the original inviter is sent an email to inform them of the rejection, and the invite status is set to rejected. The invited person does not receive an email.
* <mark style="background-color:green;">Approve an Invite Request</mark>: when an invite is approved, an invite email will be sent to the invited person, inviting them to the Organization Account. This invite expires in 14 days.
* If an invitee does not yet have an user account they will need to register before joining the team.

**Please Note**

* When Invite Approvals are enabled, members can invite others by <mark style="background-color:yellow;">email only</mark>. Inviting new people with a link is disabled.
* Note - no approval step is required when an Owner or Admin invites a new member.
* If you are using Invite Approvals, we recommend turning off the [Access Controls](broken://pages/Zizs0McUUVfju5x8RVSt) whitelist that allows users to automatically join the account if they are logged in with the correct email domains when they join a board.
* If you have integrated your Single Sign On provider with Spreo, this will override Invite Approvals, so we recommend turning off Invite Approvals to avoid confusion.

### Email Notification for New Joiners or Role Changes

Account Owners get an email of any new joiners or role changes to happen in the last 24 hours.

# Manage Teams

Teams are groupings of people and boards. The number of Teams you can have is determined by your Billing (Starter = 1 team, all other plans = Unlimited).

Admins and Owners can manage the Teams in an Account.

Each Member should belong to at least one team.

#### Create a new team

Use the Manage Team screen to create or delete teams for your organization account:

* Teams can have as many members as you like (limited by your plan)
* You can drag and drop members from one team to another. Hold shift to copy someone into a new team without leaving the other.
* Members can be in multiple teams.
* To remove members from a team, click on your team to 'open' it and use the 3-dot menu.

#### Delete a Team

* Deleting a Team will immediately archive all boards in that team and remove the members.


# Manage Boards

Owners and Admins can see and manage all Boards in an Organization.

In the boards table, you can click the Board name, User, and Team to see more details.

**Move Boards**

You can move a board to any other team/folder.

**Archive Boards**

Archived Boards are hidden from view to all users.

**Delete Boards**

Delete boards to remove them entirely from the system. Please note this is permanent.


# Security & Access Control

For security purposes, Organization spaces and boards are protected by default to non-members.

You can use the following methods to control access to the Organization Account:

* Restrict who can become a team member by using domain-based access control
* Enable invite approvals. <mark style="background-color:purple;">Enterprise plan only</mark>
* Setup Single Sign-on (SSO). <mark style="background-color:purple;">Business and Enterprise plans only.</mark>
* Invite Guests (external collaborators) to boards. Guest access is restricted to just the board shared with them. <mark style="background-color:purple;">Business and Enterprise plans only.</mark>

### Organization Access

All plans are able to restrict access to the organization and set whitelist joining rules with the [Auto Join](/management/manage-general-account-settings#auto-join-settings) setting, or for Business and Enterprise plans through integration with your [Single Sign On](/management/single-sign-on) provider.


# Single Sign-On

Spreo supports Single Sign-On (SSO) via the SAML protocol. You will need the SAML Endpoint, Issuer and Certificate values from your Identity Provider in order to configure Spreo SSO.\
\
You will also need to configure the email domains you would like to map for this SSO configuration. When signing-in, users presenting an email address from one of these domains will be redirected to your Identity Provider for authentication.\
\

# Azure Integration

## Prerequisites

In order to configure Azure SSO integration with Spreo you will need:

* Admin access to your Spreo account.
* Admin access to your Azure portal (with permission to add Enterprise Applications).
* One or more authorized domains adding to your Spreo account (see end of article).
* A note of your organizations Spreo Account ID.

### How to find your Spreo Account ID

Before you begin, you will need your organization's 12 character Spreo Account ID. You can find this in the under the management menu within Spreo: <https://spreo.io/manage>

## Integration Setup

From within the Azure portal, search for and select *Enterprise Applications* from the resources palette, click *New Application* and then *Create your own application*.\
\
Set the name as Spreo and select *Integrate any other application you don't find in the gallery* if not already selected.

Click Create.

Select *Single sign-on* from the left menu (or getting started quick link) and select *SAML* as the sign-in method.

Under Basic SAML configuration, enter your Spreo Account ID number as the Identifier (Entity ID) and set the Reply URL to <https://spreo.io/login/saml>. Leave all other fields in this section blank.

Leave the default User Attributes & Claims settings, as per the screenshot above. If the defaults are different or you have changed them, please set them as above.

Next, download the Base64 encoded Certificate file from Section 3. Make a note of the Login URL and Azure AD Identifier from Section 4. We will need all these values to configure the Spreo side of the integration.

Go to your Spreo account administration screen and navigate to Single Sign-On. Map the values from Azure to Spreo like so:

* Entry Point = Login URL
* Issuer = Azure AD Identifier
* Certificate = Text content of the Base64 certificate file

Once added, click Save Configuration. We recommend leaving the "Restrict login" setting off until you are sure all your team members are able to login via SSO otherwise it may block their access.

If you have not already had your authorized domains configured by a Spreo team member, please contact us on Intercom or at <contact@spreo.io> to set these up. The domains should include all domains that your team will login from.

Authorized domains allow us to redirect users from Spreo to your SSO Identity Provider if they login directly via our login interface rather than going via your service portal. They are not required, but recommended.


# Okta Integration

## Prerequisites

In order to configure Okta integration with Spreo you will need:

* Admin access to your Spreo account.
* Admin access to your Okta account.
* One or more authorized domains adding to your Spreo account (see end of article).
* A note of your organizations Spreo Account ID.

### How to find your Spreo Account ID

Before you begin, you will need your organization's 12 character Spreo Account ID. You can find this in the under the management menu within Spreo: <https://spreo.io/manage>

## Integration Setup

From within the Okta dashboard, choose Applications and Create App Integration. Select SAML 2.0 and press Next.\
\
Set the name as Spreo and optionally add an icon. We have prepared an Okta compatible logo image here: <https://s.spreo.io/site/logo/okta.png>

Click Next.

Under SAML Settings, set the Single Sign-On URL to <https://spreo.io/login/saml> and set Audience URI (SP Entity ID) to Your Account ID (see start of document).

Under Attribute Statements, add the following mappings:

* firstName (basic) -> user.firstName
* lastName (basic) -> user.lastName
* email (basic) -> user.email

Click Next.

Choose "I'm an Okta customer adding an internal app". You may optionally fill in any other fields on this form that are appropriate for your organization, they are not required for the integration to work.

Click Finish.

You should see the screen below, if not, click View Setup Instructions. The three values on the setup screen need to be added to Spreo under Management / Single Sign-On.

Once added, click Save Configuration. We recommend leaving the "Restrict login" setting off until you are sure all your team members are able to login via SSO otherwise it may block their access.

# Google Integration

## Prerequisites

In order to configure Google SSO integration with Spreo you will need:

* Admin access to your Spreo account.
* Admin access to your organization's Google account.
* One or more authorized domains adding to your Spreo account (see end of article).
* A note of your organizations Spreo Account ID.

### How to find your Spreo Account ID

Before you begin, you will need your organization's 12 character Spreo Account ID. You can find this in the under the management menu within Spreo: <https://spreo.io/manage>

## Integration Setup

From within the Google dashboard, choose Apps > Web and Mobile Apps from the left hand navigation. Then, click Add App and choose Custom SAML App.

#### Step 1 - App details

Set the name as Spreo and optionally add an icon. We recommend using this image as the icon: <https://s.spreo.io/site/logo/logo-padded.png>

Click Continue.

#### Step 2 - Google Identity Provider details

Here we will configure Spreo with the settings it needs to communicate with the Google IDP service. To do this, open a new tab/window in your browser and go to <https://spreo.io/manage/security/sso>.

Copy the settings from the Google screen into Spreo as follows:

* For "Entry Point" use the "SSO URL" value
* For "Issuer" use the "Entity ID" value
* For "Certificate" use the "Certificate" value (note will be quite large).

Once copied, click Save.

Back on the Google page, click Continue.

#### Step 3 - Service provider details

On this screen we configure the Google side with the configuration it needs to communicate with Spreo.

Input the following settings:

* For "ACS URL" use `https://spreo.io/login/saml`
* For "Entity ID" use your Spreo Account ID (see above on where to find this).
* Leave all other settings as their defaults.

Click Continue.

#### Step 4 - Attribute mapping

The final step is to configure which profile values Google will send to Spreo. We need to map three of these:

* "First name" should be mapped to `firstName`
* "Last name" should be mapped to `lastName`
* "Email name" should be mapped to `email`

Click Continue to complete the setup wizard.

#### Step 5 - Grant access

Depending on how your organization is configured, it's likely that Spreo will be OFF for all users by default. You can control which users have access to the app via the User Access screen available from inside the App information panel. The easiest way to configure this is to set the app ON for everyone.

#### Step 6 - Configure domains

If you have not already had your authorized domains configured by a Spreo team member, please contact us on Intercom or at <contact@spreo.io> to set these up. The domains must include all domains that your team will login from.


# Activity Log

The Activity Logs are available in the Admin controls to customers on <mark style="background-color:purple;">Enterprise plans</mark>.

* See your current Plan

* View historic and upcoming payments

### Trials

* All new organization accounts start with a 30-day free trial.
* Once your trial expires your organization will need to select a plan before continuing to use Spreo.
* You can only start a trial once per Account.
* You can upgrade at any time while in the trial.
* You can view all of our [available plans here](/plans/plans-overview).

### Manage Subscription

You'll find everything you need in the Billing screen. Change your subscription, update your details and view previous invoices.

### Cancel your Plan

You can cancel your plan at any time. Your organization will remain on the paid plan until the end of your current billing period.

To cancel your Plan, follow these steps:

1. Go to [Billing Management ⧉](https://spreo.io/manage/billing/settings).
2. Select 'Change' and then cancel from the options
3. Confirm cancellation
4. Return to your Billing Settings. You may need to refresh to see the updates.

### What happens when you cancel

* Your organization account will continue on your current plan for the time left in your subscription period.
* After the end date, your account will move into a paused state.
* Nothing is deleted when your account is paused.
* You can still access your account and all the boards within, in a read-only mode.
* You cannot create, edit or export boards.
* You can delete individual boards, delete teams, remove people, or delete the entire organization account.
* If you wish to remove all your organization data from Spreo, you must delete the organization account in the Admin tools (linked to <https://spreo.io/manage>. Warning - deleting an organization is permanent.
* Individual user profiles are not deleted when you delete a team or organization. Each individual must login and delete their own profile.

### Teams & How They Function

**Workspaces** are now called **Teams**. As part of the migration, each workspace will become a Team, with the same boards and members.

* Admins and Owners can create Teams.
* Create a Team to store boards and invite your team members.
* Boards must be created in a Team
* Teams are private, you must be invited to join a team.
* All members of a Team can create, edit and delete boards.
* All members should be allocated to (at least) one team.
* You can invite anyone in your Organization to an individual board in your team space, without them having to join your Team.

### Changes to Board Management

As of the latest version, all boards must be in a team. This means that you can no longer create a board without a team. Any existing boards that were not created in a team will be highlighted in the UI (see screenshot below). We recommend moving these to an appropriate team to keep them safe.

# Pro Plan

The Pro Plan gives you:

* unlimited active boards for all your members
* board & account security and privacy options
* invite up to 10 external collaborators as free [Guests](/boards/share-your-board#guests)

### Pricing

Monthly subscription: $12 per month per member

Annual subscription (get two months free): $120 per year per member

#### Who is included in the subscription?

Each person in your organization space is counted toward your subscription. This means all team members, Admins, and Owners.

Each team member, Admin, and Owner can create workspaces and boards, run meetings, and use all tools and templates.

**Guests are free**

You get up to 10 external guests free on every board. Guests do not need to signup, and may use a temporary profile. Guests cannot access the team dashboard.

### Subscription details

The subscription is tied to your organization space, not an specific user. When you choose the Pro plan, you can select which members to upgrade. The rest will be demoted to external guests. You will be charged for each member you add to your organization space.

You can add or remove team members at any point. If you are on the monthly plan, your bill will be updated pro-rata.

You can cancel your subscription at any time and won't lose access to any of the boards you've created. You will keep your plan benefits until the end of the current billing period. Once your subscription ends your space will be reverted to the Free plan. Only the four most recent boards will be active on the Free plan.

### Free 30 day trial

You can start a free trial of the Pro Plan for your Organization. The active board limit is removed, and your organization's security & privacy controls are enabled.

Once the trial is finished, your organization will be downgraded to the Free Plan.

You can choose to start a subscription at any point during or after your trial.


# Business Plan

The Business Plan is ideal for working with larger groups of external guests, while knowing that your team dashboard is secured with your Single Sign On solution.

Each team member requires a paid license, and has all functionality.

### How to invite guests to a board

Simply share a board link with someone and they will automatically join the board as a free guest. Guests do not need to signup or login to participate on your boards.

Guests can only view the boards you share with them, they cannot access the team space or other boards.

You can view everyone on the board in the participant list on the right-hand side of the board.

## 'Follow' - automatically follow someone else :eyes:

You can follow anyone on the board. Click their disc in the participant list and click ‘Follow’.

* Your view will mirror theirs as they move around the board and zoom in and out.
* The person you follow is informed that you are following them.
* You can still use all your tools while following someone.
* Click ‘Stop Following’ to finish following that person.

## Spotlight

Highlight people's content and votes with the Spotlight. Click on a person in the participant list to find the Spotlight option.

* You can switch between people with the left and right arrows in the Spotlight menu.

* Press the `Tab` key to drop a ‘Look Here’ arrow. The arrow stays on screen and will disappear automatically after a few seconds.

Spreo is a dynamic, real-time application providing users with a rich interactive environment to work collaboratively. It is primarily deployed into a virtual private cloud operated by Deqo Software Ltd and provided in the form of Software as a Service.

Spreo is exposed to customers as a [single page web application](https://en.wikipedia.org/wiki/Single-page_application). Behind this, there are a number of services working in synergy to provide a working service. From a logical perspective (ignoring hardware), these are:

<summary>What is Design Mode?</summary>

When you enter Design Mode (using the switcher at the top of the left toolbar) you are able to edit the board layout. While you are in Design Mode, your participants can continue the meeting on the board, and it will update in real-time for them.

<summary>What is this 'slapping' thing?</summary>

Spreo aims to make collaborative and fun experiences and this can be seen in our ‘slapping’ feature. To give a fellow collaborator a ‘slap’, just hold the Space bar, and with your mouse, move your avatar through theirs, fast. This helps them wake up, get a move on and keep the collaboration going.

<summary>How many people can use a board at one time?</summary>

As many as you want or need to complete the task at hand. You will see the users on a board down the right-hand side by their pictures. We suggest a maximum of 50 people collaborating at any one time on a board as it can be chaotic. If the number of people on the board is too much visually, you can use the “Hide other people” setting available in your Preferences, top right.

<summary>What is the Move Tool?</summary>

The Move Tool is the default state for users and enables you to create a post it note (double click anywhere on the screen) and to move the post it or other content around as desired.

<summary>What is the Comment Tool?</summary>

The Comment Tool allows you to attach comments to post-its that you or others have written. Once a post-it has a comment it will show a speech bubble icon that you can click to view the comment chain. With the tool selected, click on the post-it you want to comment on. Hit enter when you have finished your message to save it.

<summary>What is the Reaction Tool?</summary>

The Reaction Tool allows you to add any type of emoji to a post it note – and as many times as you like. You can not add a reaction to any other part of the screen currently and you can only remove it by ‘Undoing’ your action (Ctrl+Z). You can remove a reaction with right-click when the reaction or marker tools are equipped.

<summary>What is the Confetti Tool?</summary>

The Confetti Tool allows you to create a sense of achievement, fun and happiness within your retros. Once you have selected the tool, simply click once anywhere on the board and then drag a release – this will then ‘pop’ the confetti canon live on screen for everyone to enjoy.

<summary>What is the Ping Tool?</summary>

The Ping tool allows you to draw attention to an area with an animated arrow. It is visible for around 5 seconds to everyone on the board. The arrow can be clicked by a participant, and they will be brought to that area of the board. Tip: Press the Tab key on your keyboard to drop a Ping at any time, you don’t need to equip the tool first!

<summary>How can I find out what the retrospective templates mean and how I can use them with my team?</summary>

At the top of each board created from one of our pre-filled templates is a text box containing information on how and why to use the specific template. This will be there for each new templated board you create – unless you choose to delete it, which you can by simply deleting the text box.

<summary>How do I create a Spreo account?</summary>

When you first visit Spreo you will be asked to create an account. This can be with email and password or social login.

<summary>How do I log into Spreo?</summary>

When you return to Spreo after you have successfully created an account, you will be automatically logged into the tool. This is due to the cookies that we use within the browser and for your ease of use. If you visit Spreo from another computer, browser or clear your cookies then you will need to log in again with the same account credentials you used to create the account originaly (Gmail, Github or Slack).

Spreo currently store content indefinitely until the user deletes the board, or the team account the board is stored in.

<summary>Can I use any short cuts in Spreo?</summary>

* Press the H key to return to the centre of the board.
* Press the Tab key to drop a “Ping” arrow.
* Press the 1 key to equip the Ping tool.
* Press the 2 key to equip the vanishing pen.
* Press the 3 key to equip the confetti cannon.
* Press the 4 key to equip the “Throw Hat” tool (note – you need to pick a hat from your picture in the top right first

Yes, you can remove external guests from your board. If a team member has access to a board through being a member of a workspace, you will not be able to remove them.

When you are in a board, click on the board name in the header bar to rename the board. You can also do this from the dashboard.

<summary>What is the Text Tool?</summary>

The text tool allows you to add custom text to your board. You can use the text tool to provide instructions or decoration to your design. Click on the board at the position you would like the text and type out your message.

<summary>What is the Insert Image Tool?</summary>

The Insert Image Tool allows you to add an image to your board. You can use images to help decorate your board or provide instructions and annotations to your session design. Drag and drop or copy/paste an image from anywhere, search through Pixabay, or add from a URL. PNG, SVG,JPG and GIF formats can be imported.

<summary>What is the Zone Tool?</summary>

The Zone Tool allows you to edit the zones you have created or that have come standardly with your selected template. You can: 1 – rename the Zone headers and Emojis; 2 – Change the size and shape of the Zones; 3 – Add or Delete Zones; 4 – Change the colour of the post it notes that will appear in each zones as they are created or moved around the board.

When you sign up for Spreo, you are placed on a free 30-day trial, where you can use Spreo with your team as much as you want. When your trial ends, you need to choose a paid plan to continue.

<summary>What is a Member in Spreo?</summary>

A member is someone that has signed up and joined your team. Each member needs a license. Members have full access to the team dashboard and all functionality.

<summary>What is a Guest in Spreo?</summary>

Guests can join boards without needing a license. They do not have access to your team space, and can only access the boards that have been shared with them. Guests do not need to signup to join a board. Guests are perfect for working with external clients.

<summary>What is the difference between Members and Guests in Spreo?</summary>

Members are registered users of the team space. They can: create and manage boards, be the Host of a meeting, use Meeting controls, create custom templates, edit board layouts, and access the workspaces they belong to. On the other hand, a guest is a temporary role with limited functionality to just participate on the board they have been invited to.

Each member needs a license, while guests do not affect billing.

<summary>Can I collaborate with people outside my team?</summary>

Yes, all Accounts on a paid plan (except Starter) can invite external guests to their boards. The Business plan allows two guests per board, while the Enterprise plan allows 20 guests per board.

Share your board link with your external collaborator or send them a guest invite link from the Share menu in your board, and they will have the option to join as a guest.

<summary>How many teams and folders do I get?</summary>

The Starter plan has one team.

The Business and Enterprise plans have unlimited private teams.

<summary>How can I upgrade?</summary>

You can start a subscription with a payment card inside your team space.

Contact us for invoice billing, which is available for annual plans of at least 3 teams.

<summary>Can I change my plan?</summary>

You can increase or decrease your members at any time and your next bill will update pro-rata.

Annual plans have a 30-day refund or plan adjustment period.

Yes you can cancel your plan at any point, which will stop your plan from renewing. Your team space will continue on the paid plan until the end of the current billing period.
